ADHD Task Batching Without Building an Impossible Schedule
Batch ADHD tasks by setup, place or energy without creating an exhausting productivity marathon. Use small groups and clear stopping points.
The useful batch is often three emails while the inbox is open, not every unanswered message. Stop while the shared context is still saving effort.
Task batching groups work that uses the same tools, place or mental mode. It can reduce switching, but an oversized batch becomes another project that is difficult to start.
ADHD-friendly batching is small, reversible and based on shared setup cost.
Find the setup cost
Two tasks belong together when starting the second is easier because the first already created the context.
- Calls use the quiet room, contact details and speaking energy.
- Errands use shoes, transport and being outside.
- Finance tasks use the banking app and concentration.
- Writing tasks use the same document set and mental vocabulary.
- Household cleaning uses supplies and rooms, but belongs in Tidywell when it is shared or recurring.

Make a batch that can finish

Three related tasks are usually enough to test the method. The batch should have a visible edge before energy falls away.
Choose one batching dimension
Do not group by category, energy, deadline and location at the same time. Choose the dimension that saves the most friction today:
- Place: everything that needs the town centre.
- Tool: tasks requiring the printer or finance app.
- Person: decisions to make with one colleague.
- Energy: short low-energy admin.
- Mode: writing, calling or reviewing.
If a task fits several batches, place it where it is most likely to happen.
Set up batches in Sprout
Use categories for stable contexts such as Work, Calls or Errands. Add time estimates so a batch does not silently exceed the available window. Put only the selected items in the Day Plan.
What Should I Do? is useful when you do not want to scan every category. If it surfaces a task that shares the current context, add one or two related actions. If switching would be more useful than continuing, end the batch.
Use the Focus Timer as a boundary, not a challenge to squeeze in more.
Build one small batch

When not to batch
Skip batching when:
- The first task is emotionally heavy and may consume the session.
- A task has a fixed immediate deadline.
- The group delays a quick important action.
- Repetition increases sensory or cognitive fatigue.
- The batch exists mainly because the tasks share a vague category.
Alternating task types can sometimes protect attention better than grouping them. Use the method that reduces friction, not the method that looks efficient on paper.
A worked low-energy call batch
Your list contains six calls. Treating them as one batch creates an hour of unpredictable conversations, so choose three:
- Confirm a routine appointment.
- Ask the garage whether the car is ready.
- Cancel a service before renewal.
Before starting, put the phone numbers and reference details inside the tasks. Set a twenty-five-minute Focus Timer. If the first call has a long queue, use the waiting time only for a safe related action, such as opening the next contact. Do not start an unrelated project.
At the timer, stop even if only two calls are complete. Record what happened and move the remaining call to another realistic window. The batch succeeded if the shared setup made starting easier, not only if every checkbox disappeared.
Batch communication by person when possible
Several small questions for one colleague can become one concise message or meeting note. This reduces interruptions for both people.
Keep a temporary list under the person's category, then send only the questions that still matter. Avoid holding an urgent question merely to make a future batch look efficient. A real deadline or blocked person outranks batching.
